Expectations

All chapters and colonies will submit all required reports on time with the Executive Offices.

PKTConnect

Phi Kappa Tau has partnered with ChapterSpot to provide an online application for reporting. PKTConnect will handle any operational reports. This does not include membership reporting. See the reporting manual below for more information.

Membership Reporting

Risk Management Presentations

Chapters and colonies are required to provide three to four risk management presentations to its membership. Risk management education has proven to reduce risk in Phi Kappa Tau chapters and colonies. As leaders in the community it is important to learn about how to keep members, friends and the Fraternity safe. By effectively managing risk and providing timely education to the membership, the chapter or colony can receive a discount on liability insurance rates in the spring semester.

Finances

Financial management is one of the most important aspects of running a Phi Kappa Tau chapter or colony. With proper management, a chapter ensures its members all the benefits the Fraternity offers. The required reports are spring and fall billing, the annual budget and IRS filing. All must be completed annually.

Chapter GPA

Phi Kappa Tau tracks grades on a calendar year. This means in April the Executive Offices collect the previous fall and spring semesters. This form will also help update our important campus information, including greek advisor contact information.

Spring Roster Update

Every April, each chapter and colony must update its roster to remove graduating and other outgoing members. This allows the chapters and colonies to receive a close to accurate billing in the fall. This report will be sent from the Executive Offices a couple weeks before the due date.

Membership Reporting

Community Service

Community service is defined as time, skills and services provided to a community agency or non-profit organization. The purpose of the event is not to raise money or material goods. Service hours will be tracked through the utilization of the Service Hours app on PKTConnect. A chapter or colony is still required to report the community service events it is organizing and participating in through the community service event report.

Philanthropy

Philanthropy is defined as raising money or material goods for a cause, community agency or non-profit organization. This report will only report events organized by the chapter or colony, events that it has participated in and non SeriousFun Children’s Network contributions. 

SeriousFun contributions are not sent directly to the camps. Contributions to the SeriousFun Children's Network should be sent in the form of a check to the Phi Kappa Tau Foundation, and indicate "SeriousFun" in the memo.

Alumni Newsletters

Each chapter and colony is expected to maintain communication with alumni. By sending out quality newsletters, alumni have the ability to get updates on Phi Kappa Tau, the chapter and its members. PKTConnect allows chapters and colonies to upload two newsletters. The Phi Kappa Tau Executive Offices wants to know about alumni events and alumni members. This allows the Executive Offices to promote the events and the accomplishments of the chapter and colony and its members.

Recruitment Management

Phi Kappa Tau believes in the 5-step recruitment process. By utilizing the RecruitmentPro App on PKTConnect chapters can better manage their potential new members. The Executive Offices will review utilization on May 15 and Dec. 15 indicating the amount of potential new members in each step of the process.
